Team & Tom

A Life in Project Management

20+ years managing projects. Business & IT transformations, new product development, agile or waterfall methodologies, small to extra large teams of 1000+.

We studied why projects succeeded and why they would fail.  We started recognizing patterns. After analyzing several hundred projects, a clear set of success factors started to emerge. Some are obvious and some are not.

Most important - a lot of people do not focus enough on these success factor.

What are
Superteams
doing differently?

Why do some teams outperform and others fail?

Teams Outperform

To achieve a goal you need a Superteam. A team outperforms an individual. That is why it is so important to have the right team and setup for your product or project.

The Secret Sauce

Certain criteria determine the performance of a team and the success of their projects. And remember, previously successful teams can fail big! If you read on, you will understand why.

So how to set yourself up for success?

The Secrets of Superteams and Successful Projects

Astonishingly or maybe not so surprisingly, it has almost nothing to do with:

The Methodology - Agile, Waterfall or Any Other

Projects were not more successful because they used a specific approach.

The Team Structure or the Location

It does not really matter if there is a line or a matrix organization. Also if the team was distributed or in the same place has only a limited influence. Being in the same place helps with a lot but it is not the key driver for the success of the project. Look how well some organizations managed working remotely during Covid.

The Team Having Low Performers

It is almost like in the movies. A team is often only as strong as the coach's ability to build a strong cohesive team.

It has much more to do with:

The Subject Matter Experts

You need the right experts to plan and setup a project. Even more so when you are new to the subject. Otherwise you will go through a long and costly learning curve.

Example: Digital Hub - A lot of companies want to setup a digital hub when most professional incubators struggle. Successful models are rare and so are the experts implementing them.

Example: Weight loss - most people look for fitness programs when they should be looking for a change in diet.

Finding the right expert can be very challenging. There are a lot of great sellers out there and few real experts.

Experts are key but more is needed. Check it out in our project guide or subscribe.

The Proper Setup

The internal and external situation and setup are crucial for a successful project.

The senior management support for a project driving a big change is essential. Otherwise the project will become a political playball and achieve very little.

Similarly in your private life. If you want to build an extension to your house but your partner is not supporting it, then the whole process from planning to execution will become a long uphill struggle.

In addition there are often the basics like having a project room, laptops, file sharing options, team chat that will make it easy for the team to jump start and not to worry about setting it all up.

The Superteams
That Do What It Takes

The team is key and with the right guidance a team can be better than the sum of its individuals. This usually depends on the coach project manager. He can bring the best out of a team.

You do not need  a team of superstars. That often does not work out. Too many egos. It is also not only the chemistry because you might be all getting along but miss the creative conflict.

In the end for a team it is most important to have the willingness to believe in the common goal and to work together to achieve it. Do what it takes.

Example: It is good to debate different options and get everyone's input but then pick one option, try it and then quickly correct course if needed.

There is still more to the team needed. Check it out in our project guide or subscribe.

Accountability & Believing in the Process

Accountability helps a lot to focus a project or a team. That is why we have teachers in schools, status meetings or sprint reviews in projects and boards in companies. They are not always the ideal accountability body but overall they work.

They help to focus the efforts, even with a highly motivated and efficient team.

So if you setup your accountability body make sure that it has the responsibility, ability and respect.

In addition, you need to believe in the process. Sometimes things take a lot of time to fall into place.  You might come to the point, when you doubt that this is going to work out. And sometimes it does not but often it is just  perseverance and staying the course that is needed. There is no over night success.

Communication

A new project will bring change. No one likes change unless they initiated it.

So bring everyone with you on the journey as early as possible. Make them part of it, make them own it.

Like when developing your customer by listening to what they want. Do the same with everyone else that can influence your project or who you impact with your project.

Then you can adjust your communication to bring everyone with you.

Think of every successful Project.

How were those projects setup?

How knowledgeable were the experts?

How was the team setup and how did they work together?

How did they execute?

How were they managed?

How did they communicate?

Set yourself up right and achieve what you have planned.

Who is The Daily Planner for?

Budding entrepreneurs.

Small teams trying to accelerate.

Solopreneurs.

Career changers & accelerators.

Personal improvement like getting in shape, losing weight, living healthy.

Any personal or team project you can think of.

Sounds like everything for everyone...

We are not trying to achieve your goal in a few weeks. That is usually not possible.

But our main goal is to set you up right to achieve your goal and be able to work on it successfully for a long time.

This is not a 4-6 weeks fix and then you hope it will all somehow come together.

What you are trying to achieve should last and therefore you need the right foundation.

Making Your Project a Success

Each project goes through a classical cycle like a startup.  I like the graph from Y Combinator founder Paul Graham.

the motivation curve_edited.jpg

The initial excitement and success is followed by a longer period with little progress and setbacks. What first worked does not work anymore and similar challenges.

This is when most people give up even if they otherwise might be making good progress.

THE SUPERTEAMS are focusing on getting you through this difficult period and help you move towards the growth and success trajectory.

Start at the right point. Don't guess around how to approach your project.

Follow a clear setup process with simple steps and introducing agile ways of working at the same time.

Go from stuck to moving ahead and moving ahead in the right direction.

Step 2

Build your Team

Setting yourself up in the right way is essential.

We do not mean to spend weeks planning and thinking how to approach your goal but to build the right team around you that will drive you forward and auto correct if needed.

Our aim is to get you into a setup that will work for you and you can adjust as things develop.

Agile Mindset and ways of working

Learn to focus on what matters most.

Even with limited time, set yourself up with a clear structure that will drive results.

This is not a list of productivity hacks but a system that has proven to work if implemented with the right team.

Go from stuck to moving ahead and moving ahead in the right direction. Maybe slowly but constantly.

Get the right Support

We do not bunch you up in groups of 30-40 people. We want that you setup the support team that you need.

From experience we know that getting started is most challenging and getting the right guidance is key.

This will jumpstart any project you might have in mind and will allow us to release you as quickly as possible.

We might help you find a mastermind or similar groups but only if we think that is really a fit for you.

HOMEWORK

Things do not happen by themselves.

Based on your weekly capacity, you will build a schedule and drive your progress.

If you have 3 hours per week, your progress will look different to someone that can dedicate a full working week.

Important is that we want the schedule to be sustainable. You are in this for the long run, so let's make sure that works.

Your THE SUPERTEAMS

Frequently asked questions

How long does the planner last?

We see the planner as an ongoing tool. You should stick to its principles also if you succeeded achieving your goal. We keep using it for all improvements and new projects and still find it helpful. It keeps us focused and able to deliver quickly.

Do I have to have my idea or project ready?

It is better if you know what you want to do. You will start by validating your project against your vision. This is to ensure you do not spend 6 months on something just to realize that this is not what you wanted.

You can also just use the planner to understand the method and use it when needed but it is usually better to apply it right away.

How many hours a week do I need to schedule to get awesome results?

The more time the better but our approach is self-paced, within the time available to you. But we think it is best, if you allocate a fixed amount of time every day. That ensures continuity and consistent progress.

It would be great to find one hour every day as a minimum but if you really want to do something then also 15-30 minutes will eventually get you there.

Certain things though require a specific amount of time  and that might limit what you can pursue.

Is this for beginners?

The method is for absolute beginners and for pros. Actually sometimes easier for beginners because they do not try to squeeze their mental model into this, i.e. more open to new ways of doing things. No old habits to overcome.

So by all means yes and everything else you will learn along the way.

I am / we are already working on somethings that is quite advanced. Is this for us?

The planner is not a must to be successful. Some people just naturally build up the team as we recommend and have the right working method and attitude.

But for many the planner and method can work like an accelerator. Stopping to do things on their own, looking for the right guidance and ensuring a consistent output without overplanning or dreaming what could be.

How does the money back guarantee work?

In general we do not want your money if you are not happy with the planner. So if the planner does not work for you then drop us a mail within 30 days of the purchase and we will refund your money.

Any other questions just get in touch with us.
